As a person with a lot of catering experience from owning a catering equipment company - but also due to having worked in the catering industry in jobs over the years, I have seen firsthand the incredible impact  of vending services on modern catering solutions. For this article, I will be sharing with you the ins and outs of this innovative approach to food service backed by real world examples and industry statistics. 

 

What is a Vending Service in Catering?

 

Vending service is a modern approach to serving food and beverages. It uses automated machines and provides these refreshments at different events (such as workplace events etc.) The idea itself originated in the early 20th century but it is only in recent times that we have seen a huge increase in its popularity and technological advancement. 

 

The first event I attended with vending service was a large corporate event. I remember thinking how sophisticated it was, with a sleek, touchscreen-operated machine that offered different foods, from sandwiches to hot meals. It was very different to the simple snack dispensers that often find a way into office break rooms. This sophisticated vending service was a game changer for event organizers and it provided round the clock food options without need for staff.

 

Vending services for large events are key. They provide a flexible, cost-effective solution that can be paired with traditional catering methods or even stand alone as the main food option. In my own experience, I have seen how vending services have saved the day by providing quick and easy access to refreshments sometimes during changes in the last-minute schedule.

Personally, I have come across many different types of vending machines used in catering. Here are the most used:

 

  1. Beverage Vending machines: Diet coke, pepsi - all different types of beverages. This is possibly the most familiar. Some of these can even brew fresh coffee.

  2. Snack Vending Machines: Again, these are a familiar one. They offer snacks such as chocolate bars or crisps but recent models also hold healthier options such as fruit.

  3. Meal Vending Machines: These are more advanced. They can dispense full meals (even refrigerated or heated on demand!) I have even seen some that can make fresh salads on the spot. This is the future!

  4. Combination Machines: They offer snacks, beverages and even meals in some of the single machines.

 I have noticed in recent years that there is an increase in healthy vending options. According to one study, healthy vending options have shown a 61 per cent drop in calories compared to traditional vending.

 I have set up vending machines myself for events several times. It starts with a consultation between the event organizer and the vending service provider. They take note of the number of guests, the duration of the event and any dietary requirements or preferences.

There is  a reason that working with a vending company is essential as they can recommend the best setup on factors like crowd flow, peak eating times etc. They are usually amenable to suggestions also. I have a real world example to share of how vending services can be integrated into a large event. Several years ago, I was supplying equipment for a three-day technology conference in Dublin. There would be 5.000 attendees.

  • Registration with the Food Safety Authority of Ireland (FSAI) for providers operating in Ireland

  • Certifications from organizations like the National Automatic Merchandising Association (NAMA) in the U.S.

It might seem like a drag, but in my experience it is better to be safe than sorry and is worth the effort to make sure that you are working with a reputable provider.

Over the years, I have seen different challenges arise with vending services. Some issues i have encountered are:

 

  1. Machine Malfunctions: Be sure that there is a contingency plan and the service provider can deal with repairs quickly and efficiently.

  3. Limited Payment Options: Multiple payment methods are usually preferred (such as card and contactless)

  4. Lack of Healthy Options: Always request a mix of healthy and indulgent options

  2. Contactless Technology: In the aftermath of the Covid pandemic, there has been a huge increase in demand for contactless vending machines. Many now offer touchless payment options. 

  3. Sustainability Focus: There are more and more vending machines that are offering eco-friendly packaging options and energy-efficient machines to reduce environmental impact. 

  4. Customization and Personalization: Some vending machines offer customizable products such as personalized coffee blends.
